PRIVACY STATEMENT

The Royal New South Wales Canine Council Limited (RNSWCC) is trading as DOGS NSW and is not subject to the Privacy Act 1988, as it is a small business operator (as defined in that legislation). However, this privacy statement has been prepared so that everyone who Dogs NSW deals with (You) understands how we generally handle personal information.


1. What kind of personal information does the Dogs NSW collect?

We collect personal information from members, judges, employees and other people it does business with. For example, personal information may be collected when You complete forms (either hard copies, or through our website) or through Your other dealings with us. To illustrate, some examples of the kinds of personal information collected by Dogs NSW are set out below:

  • Personal information collected from members includes name, address, contact details, credit card details, pension numbers and date of birth information.
  • Personal information collected from judges and veterinary surgeons includes name, address, contact details and details of qualifications and experience. Sometimes we may request health information and other sensitive information from judges (for example, in order to assess judging capability and suitability), but our policy is to only collect this information by consent, to treat it as confidential, and to not use this information for any other purpose.
  • Personal information collected from business contacts includes name, business position, and business telephone and fax numbers and email addresses.
  • Personal information collected from our employees and contract workers includes all information required for the employment or contractual relationship.
    Generally, all personal information is collected directly from You, or with Your consent, and Dogs NSW policy is to collect only personal information that it needs for a particular purpose. 
     

2. How is personal information used by Dogs NSW? 

  • administer, process and assess applications for membership, and membership renewals;
  • provide and administer breeder services (for example, registration of litters and issuing pedigrees); 
  • conduct and administer events (for example, championship, obedience, agility and sheepdog shows, and the issuing of titles); and
  • to handle complaints about members or former members of the Dogs NSW. However, You should be aware that our Articles of Association govern the use of personal information for this purpose, and confidentiality obligations apply.

Personal information about employees and contract workers is only used for the purpose of the relevant employment or contractual relationship.

3. Will Personal Information be Given to Anyone Else?

Personal information about members and judges is used and disclosed in connection with the publication and distribution of Dogs NSW Magazine (the official publication of Dogs NSW). Personal information about You may be published in Magazine or on our website at www.dogsnsw.org.au (for example, if You participate in an event or judge an event, if you register a litter, if You advertise in the Dogs NSW Breeders Directory, or if You export).

If you are a member who advertises in the Dogs NSW Breeders Directory, Dogs NSW may disclose your contact details if we receive enquiries about Your breed (for example, if a member of the public asks for information about a particular breed, or contact details for breeders). Such inquiries are also redirected to Breed Clubs. If you do not advertise in the Breeders Directory, our policy is to not disclose your contact details in response to enquiries (as it may be unclear whether we have your consent to do so). However, your Breed Club may choose to redirect such enquiries to you.

From time to time we may also disclose personal information about members to Breed Clubs (for example, to confirm Your membership details in connection with Your entry for an event).

Personal information about judges (name, contact details, breed expertise), is published by Dogs NSW (on the Dogs NSW website and in a Judges Directory), and is also disclosed to The Australian National Kennel Council (for use in its Directory).

From time to time, Dogs NSW may provide personal information to organisations that provide services to Dogs NSW or who help us operate our business (eg mailing houses and printers who publish and distribute Dogs NSW Magazine on our behalf). Those organisations are authorised only to use personal information for the purposes specified in our agreement with them.

Otherwise, Dogs NSW's policy is to only disclose personal information with Your consent, or if required by law. For example, under the Corporations Act 2001, Dogs NSW must maintain a register of its members. Dogs NSW must allow anyone to inspect this register, and to provide a person who asks with a copy of the register or a part of the register.

4. Security of personal information

Dogs NSW endeavours to ensure that personal information is stored securely, and that there is no unauthorised access to personal information. For example, if a person makes an inquiry about personal information held about them, we take steps to verify that the person making the inquiry is who they say they are.

5. Online privacy

This privacy statement outlines Dogs NSW approach to all personal information it handles, whether collected online or offline. Further information about online privacy issues is included in the legal notice on our website at www.dogsnsw.org.au

6. Accuracy of personal information

In order to keep your personal information as current as possible, we ask that you let us know of any changes to your contact details. Please direct all inquiries or correspondence relating to this Privacy Statement to:
